How do I set up my PhorestPay Card Terminal?

This article will show you how to get started with your new PhorestPay Card Terminal.

Step-by-Step Guide

Install the Battery

With the back of the device facing you, lift up from the indentation at the bottom left corner to detach the back cover. Insert the battery by sliding it into the exposed slot with the gold connectors at the top aligned.

Charge the Card Terminal, then Power On the Device

Connect the reader to power by plugging the provided cable into the port with the lightning bolt symbol. If you have a dock (optional), the device will charge while connected to the dock.

To power on the device, hold down the power button on the right-hand side until the screen turns on.

Even when it’s not in use, leave the terminal plugged in and powered on to receive automatic software updates.


Connect to the Internet

After powering on the terminal, you’ll be prompted to connect to the internet.

When connecting to WiFi, your WiFi network must use WPA-Personal or WPA2-Personal encryption and be password protected. The terminal does not support non-password-protected networks, enterprise networks and IPv6 networks.

Wired Connection with (optional) Dock

If you have a dock, ensure all cables are connected.

First, connect the cradle to a power source using the USB-C cable. Plug the smaller end of the USB-C cable firmly into the USB-C port (highlighted below). Then, connect the larger end to a power source (a USB plug charger, or your computer, for example).

Next, ensure the dock is connected to the internet using an ethernet cable (shown below). Your terminal will connect to the internet while it is in the dock via the ethernet cable.

The terminal will need to be on the dock to maintain a connection with the internet. When you pick it up from the dock, it will attempt to connect to a WiFi network (if you have connected previously).

Update the Device

If prompted, press Update to update your device. This will take a few minutes to complete, and the screen may turn black for a minute.


Choose Language & Country

Next, use the device to choose your language and country.


Pairing your Card Terminal with Phorest

After you choose your country, you’ll be prompted to register the Card Terminal, and a pairing code will appear on-screen.

When you have your pairing code, open Phorest > Go to Manager > Phorest Pay > Settings and enable in-store card payments with PhorestPay.

Click Add Card Terminal > Add

Enter the pairing code into the Registration Code field, give the Card Terminal a name in the Reader Name field, and then click Add.

If you need to generate a new pairing code, swipe your finger in from the left of your terminal screen > Press Settings> Enter 07139 as the Admin PIN > Press Generate pairing code.

Once added, you should see a Registration successful message on your terminal, and the device will automatically begin applying an update.

After the update is complete, restart the terminal by holding down the power button on the right side, then press Restart. You will then see a PhorestPay screen, and the device will be registered.

⏰ The update can take up to 15 minutes to complete. While waiting, you can continue with the next steps.


Multiple PhorestPay Card Terminals

If you have additional terminals, repeat the process above to add them.

The first terminal added will be the default when paying. However, you can switch to another terminal when processing a sale.

To change the default terminal, go to Manager > Settings > Point of Sale > Device > Choose your default terminal in the Credit Card Configuration dropdown > Save.

This setting is per-computer, so if you have multiple computers, you can choose a different default terminal for each.


Setting up Payment Types in Phorest

After the terminal is paired, the Credit and Debit payment types in Phorest will be linked to the terminal and will be used to process a sale on the device.

If you do not see the Credit and Debit payment types, they are archived, and you will need to restore them. Click here to find out how.

If you are unarchiving a payment type(s) and are using the Xero or Quickbooks Accounting Integration, you will need to make sure that unarchived payment types are mapped. You can do this by going to Manager Phorest Integrations > Xero or QuickbooksManage Integrations.


Adding a Payment Type for your Previous Card Terminal

You will need to set up a new Payment Type in the event that you need to refund a previous sale that was processed with your old Card Terminal.

To do this, go to Manager > Settings > Financials > Payment Types > Add New.

Enter a familiar name, set a shorthand code, then set Banked to Yes and click Save.

Once added, the Payment Type will be available when processing sales on the Purchase screen (you will need to restart Phorest for the change to take effect).

If you are using the Xero or Quickbooks Accounting Integration, you will need to make sure that you map any new Payment Types that you add. You can do this by going to Manager Phorest Integrations > Xero or QuickbooksManage Integrations.


Restart Phorest

Once your terminal is added and a new backup payment type is created, restart Phorest.

To restart, click the power button in the bottom-left of the screen, then launch Phorest again after it has been shut down.

Processing a Sale

When processing a sale, use either the Credit or Debit payment options, then click Pay to run the sale through your PhorestPay terminal.

Processing a Split Payment

To process a split payment, you will need to use both the Credit and Debit payment options and use the Calculator button beside each payment type to split up the total amount due between those two payment types.

Yes, this can be done using the Virtual Terminal feature.

Does the terminal work with Phorest Go?

PhorestPay Card Terminal checkout is available on both Android and Apple iOS devices provided you are using PhorestGo 2.0.

If you are using the previous version of Phorest Go, the Card Terminal will only work on Apple iOS (iPad/iPhone) devices.

How do I connect the terminal to another/different WiFi connection?

Swipe your finger in from the left of your terminal screen > Press Settings> Enter 07139 as the Admin PIN > Network > WiFi.

Does the PhorestPay Card Terminal save client card details?

Yes, you can choose to Save Card Details when processing a payment. It is important that you ask for the client's consent before saving their card details. 

Saved card details with PhorestPay are powered by Stripe, which has the very highest security and Level 1 PCI Compliance. Neither you, your staff or Phorest staff have access to the raw card details at any stage.

You cannot save card details for Walk In clients.

Where can I see more information on each transaction?

Each transaction will appear under the Card Reader feature type on your PhorestPay payout export. For more information, click here.

Can I disable the beeping sound on the Card Terminal?

Yes, the payment tone can be disabled. Check out this guide to find out how.

Does the terminal print paper receipts?

No, the PhorestPay terminal doesn’t print receipts. However, you can set up email receipts in Phorest. For more information, click here.

How long does the battery last?

With typical usage, a full charge should last for 1 day. To help preserve the battery, you can tap the side power button once to turn off the screen when not in use.

Why type of charger is needed?

The charging cable can be plugged into any USB-A power adapter and has a minimum power requirement of 5V-2A (10W).

Many phone chargers are 5V-1A (5W) and will not sufficiently charge the terminal. Most iPad/Tablet power adapters are 5V-2A (10W) and will charge the terminal.

The USB port on your PC/laptop may also work as a charging point.

Is there a minimum transaction total amount?

Yes, the sale total needs to be at least 0.50 or more.

Can clients use Apple Pay or Google Wallet?

Yes, Apple Pay and Google Wallet are supported.

What do each of the buttons on the terminal do?

The Scan and Volume buttons are currently disabled and do not perform any function. This means that the Rear Camera and Flashlight are currently non-functional.

How do I factory reset the PhorestPay Card Terminal?

If you ever need to reset your device to its original factory settings and begin the setup process again, hold down the blue buttons located on both sides of the Card Terminal for a total of 15 seconds. When prompted, select Yes to confirm that you want to reset the Card Terminal.

After the factory reset is complete, you will need to go through the setup process once again to get your device up and running.

Is the terminal compatible with 5GHz WiFi frequency?

Yes, both 2.4GHz and 5GHz frequencies work with the device. Below is a list of all compatible frequency bands.
