How do I set up Geofencing for Clock In and Clock Out in PhorestGo?⁠ ⁠​

This guide will show you how to enable Geofencing for Phorest Go clocking in and out, choose a radius, and decide whether staff can clock out when they are outside the geofence.⁠

What is Geofencing?

Geofencing adds location-based controls to PhorestGo time tracking. When enabled, your staff can only clock in and clock out using PhorestGo when their phone is within a certain distance of your business location (your “geofence”).⁠

This way, you keep the convenience of clocking in from PhorestGo while making sure clock-ins and clock-outs really happen on-site.⁠


Enabling Clock in/out Geofencing

To enable geofencing, open Phorest on a computer and go to Manager > Settings > PhorestGo, then enable the Clock in/out Geofencing setting.

Next, set your Max Distance radius in yards. This is how far from the location staff are allowed to be while clocking in or out.

Then, decide whether to allow Offsite Clock Out or Exclude Self-Employed Staff from geofencing.

When Offsite Clock out is set to No, staff can only clock out when they are inside the Max Distance radius.

When Exclude Self-Employed Staff is set to Yes, any staff marked as self-employed in their staff profile can clock in and out on PhorestGo from anywhere, without being affected by your Geofencing settings.

Once you’re happy with your settings, click Save, and geofencing will be enabled right away for all relevant staff when they clock in or out on PhorestGo.


Updating Your Geofencing Location

If you notice that the location is a bit off, you can use the Location map in your geofencing settings to tweak it. The Max distance radius you set will show up on the map, so you can get a clearer idea of the allowed distance from your location where staff can clock in and out.

Remember to click Save after you adjust your map location so the updated location will take effect.


How it Works for Your Staff

After you enable Geofencing for the first time, the next time your staff go to clock in on PhorestGo, they'll be asked to enable location permissions for PhorestGo.

This is needed for the geofencing feature to work properly.

This prompt will also show up if a staff member disables location permissions for PhorestGo and then tries to clock in/out again while geofencing is turned on.

The next time they go to clock in/out on PhorestGo, if they are outside your geofencing radius, they'll see a message on-screen to let them know.

If they are within the geofencing radius, clocking in/out will work as normal.
