How can I prompt staff to convert an appointment into a series or course?

This article shows how to enable a setting on your system that prompts you to upgrade a single appointment to a series or course sale if a relevant option is available.

Selling a series or course to a new client over the phone before they visit the salon can be challenging. Phorest allows you to book the client for a regular appointment and then convert it into a course when they pay. Once the appointment is converted, the system automatically deducts the original appointment from the remaining sessions in the series or course.

Enabling the Prompt

To enable this setting, go to Manager > Settings > Point of Sale tab > Prompts. Set the Service to Course toggle to Yes, then click Save.

How It Works

Appointments that include a service available for purchase as part of a series or course display a pop-up window when you click Pay.

Click Convert to change the sale into a series or course sale. The current appointment is considered as the first session, resulting in one session being deducted automatically.

Two items appear in the sale: one with the total Price of the series or course being sold, and the other with a price of 0.00 for the first session used.

Appointment Deposit Already Paid?

If the client has already paid a deposit towards the initial appointment, the deposit amount will be deducted from the total cost of the series or course at the point of payment.
