What is Dot Phrasing?
Dot phrasing helps you save time by using pre-written text snippets. Instead of repeatedly typing the same information, you can quickly insert a snippet into your patient notes and edit it as needed. This makes documenting treatments faster and more accurate, so you can spend more time with your patients and less on paperwork.
Where Can it Be Used?
Dot Phrasing can be used in Notes and Treatment Plans within a client's Consultations section.
Creating a Dot Phrase
Go to Manager > Consultations > Dot Phrases.
Select Create New to begin creating a new Dot Phrase.
Dot Phrase Details
The Name is the keyword you will type after a full stop (.) when applying your dot phrase in a client's treatment plan or notes.
The Description is optional, but it’s important to update it as the words you include will be searchable when browsing your Dot Phrase Library. Including key information, like relevant treatment names, can make searching for specific dot phrases much easier.
The Phrase is where you enter the text for your dot phrase template. This is where you define the content automatically inserted into patient notes when the dot phrase is used.
When choosing Who can use this dot phrase, you can decide whether the dot phrase you're creating is just for the person who created it or for everyone. This allows you to create personalized phrases or share them with the entire team for consistency across the business.
Using a Dot Phrase
To use a dot phrase, open the Notes section within Forms or open a Treatment Plan, then type and select your dot phrase to apply it.
In Notes
If you're not sure of the dot phrase name, you can also click the button to quickly view your full Dot Phrase Library, search for a particular dot phrase, and apply it from there.

You can also quickly create a new dot phrase from this screen, using the Create New button.In Treatment Plans
Staff Access Permissions
There are three access permissions associated with Dot Phrasing, which you can find using the Search field under Manager > Access & Licence Keys.
- Use Dot Phrases while writing notes: Allows staff to use dot phrases within Treatment Plans and Notes.
- Create Dot Phrases: Grants staff permission to create new dot phrases.
- Edit and Archive Dot Phrases: Allows staff to modify or delete existing dot phrases.
