How can my staff members receive appointment notifications on PhorestGo? (Push Notifications)

This article will show you how your team can receive push notifications for appointments on their phones.

Enabling PhorestGo push notifications can help your team stay on top of their schedule. When enabled, staff members can customize their own settings and choose to receive push notifications for any of the following options:

  • A new booking is made
  • An appointment is checked in
  • An appointment is rescheduled
  • An appointment is cancelled
  • A client leaves a review*

*Review notifications are only available if your Phorest subscription includes access to Staff Performance on PhorestGo.

Enabling Your Notifications

To enable your push notifications on PhorestGo, open the sidebar menu and go to SettingsNotifications.

Next, select the notifications you wish to receive.

Understanding the 'Duration' Setting

The Duration setting allows you to control your push notifications, so you only receive certain alerts if the appointment is within the specified upcoming timeframe.

For example, if your Rescheduling Duration is set to Within 7 days:

  • If a client's appointment is currently within the next 7 days and is then rescheduled to another date, you will receive a notification.
  • If a client's appointment is 8 or more days in the future and is rescheduled to another date, you will not receive a notification.

 

Adjust the Duration setting to suit your preference and stay informed about the appointments that matter most to you.


How Does it Work?

Once enabled, staff will receive alerts immediately after a particular action happens.

For example, in the video below, a push notification is sent to the staff member's phone (left) immediately after an appointment in their column is canceled.

Tapping a Check-In, New Appointment, or Reschedule notification will open that appointment in PhorestGo.

Tapping a Cancellation notification will open the appointment calendar to the date of the cancelled appointment.

Tapping a Review notification will open that review in My Performance > My Reviews.

Default Settings

By default, push notifications are enabled for all staff but only for appointments in their own column. Reviews are also enabled, but only for their own reviews. Where a duration/time-frame setting is available on a notification, the default setting is Within 7 days.


Limiting Access to All Appointments

If a staff member has been granted the View All Staff Columns access permission, they can decide whether to receive a specific alert for their own appointments only or for all appointments. You can restrict this access so that they cannot choose to receive alerts for other staff members' appointments. This access permission can be located under Manager > Access & License Keys > Phorest Go (Mobile) > Calendar.

Reviews

Access to receive push notifications for all reviews or 'Only my clients' is tied to the Manager View access permission under Phorest Go (Mobile)Staff Performance.

Enabling Push Notifications on Your Device

For Push Notifications on PhorestGo to work, you need to have Notifications enabled for the PhorestGo app on your smartphone and/or smartwatch.

The first time you open the PhorestGo app, you'll see the prompt below to allow push notifications.

If you missed the prompt or disabled notifications and want to enable them again, you can do so in your device's notification settings.

Not Seeing Notifications on your Smartwatch?

If you are using push notifications on a Smartwatch device and aren't seeing them, there could be several reasons why. On most devices, if you have push notifications enabled on both your smartwatch and smartphone, you won't receive notifications on your watch when your phone is unlocked; you will receive them on your phone instead.

Notification History

 iOS

Currently, Apple devices do not have a feature that allows you to view your history of cleared notifications.

 Android

Go to your Settings, then search for and enable your Notification History.

Once enabled, you will see a history option underneath your notifications.

Tap it to view your recently cleared notifications, as well as notifications you received in the last 24 hours.
