How can I report on my AI usage in Phorest?

This article shows you how to track your usage of Cheat Sheet and Front Desk AI in Phorest.

AI Usage Dashboard

The AI Usage dashboard helps you track AI interactions with both Front Desk AI and Cheat Sheets for any date range you choose. 

It shows you how many interactions your AI has had and lets you drill into the details behind those numbers. It’s designed to keep usage clear so you won’t have any unexpected costs when using AI.

You can find the dashboard under Manager > Reports > AI Usage.

On the dashboard, you'll find numbers showing:

  • How many messages Front Desk AI has sent
  • How many Cheat Sheets your team has generated
  • Your Total AI Interactions, which adds up the two numbers above.
     

Viewing Additional Details (Drilldown)

To see more details, click on the Number of Front Desk AI Messages Sent or Number of Cheat Sheets Generated. You'll find a detailed breakdown with client names, message dates, message content, cheat sheet generation dates, and the staff who created the cheat sheets.


Front Desk AI Dashboard

The Front Desk AI dashboard provides visibility into how Front Desk AI is performing.

You can find the dashboard under Manager > Reports > Front Desk AI.

On the dashboard, you will find reports displaying:

  • Total Conversations (the total number of chats managed by Front Desk AI)
  • Success Rate (the percentage of interactions handled by AI without staff assistance)
  • Handoffs (chats transferred to staff for support)
  • Weekly Revenue (a bar chart illustrating booking values generated through the AI)
  • Revenue Saved (revenue preserved by converting cancellations into rescheduled bookings)
  • Handoff Reasons (a breakdown of the reasons staff assistance was required)
  • Conversation Breakdown (an overview of the primary topics clients inquire about)
     

It is not currently possible to drill down into the reports on the Front Desk AI dashboard.
