How do I add a client's Membership that was originally purchased in another system outside of Phorest?

This guide will show you how you can recreate a client's membership in Phorest when it was initially purchased in another software.

If you have recently joined Phorest and have a large number of client memberships to add, please reach out to your Onboarding Specialist, who can discuss the option of importing the list with you, rather than adding them one by one.

First Step: Creating Your Memberships

Before you can manually add a client's membership, you will first need to create the Membership. If you haven't done this already, please click here for a guide.


Manually Adding a Client Membership

Go to Manager > Memberships > Client Memberships, and click Add Client Membership.

Select the client, then the Membership, followed by the Starting date and Next Billing Date.

The Starting date is when the client can begin using the Membership benefits, which in this case will likely be today's date, given that they have already purchased the Membership in your previous system.

The Next Billing Date sets the next charge date, with additional future billing being based on the Membership's Billing frequency setting.

Next, add Notes for future reference if needed, and click Save changes to complete the client membership creation. Notes are not visible to clients, and it may be helpful to note that you’re adding from your previous software, in case a record is needed later.


Adding a Card for Future Billing

Finally, from the main Memberships screen, go to the Billing tab > Billing Due, then select Add Card to add the client's card details. This will ensure the client is billed accordingly on their Due Date.

If you can not add a client's card right away, they will still be able to redeem their Membership benefits. However, billing will fail if a card is not added by the Due Date.
