How to do I use the Advanced Cash Up / Cash Out? (EOD)

This article will outline how you can enable and utilize the advanced cash up feature on Phorest.

What is Advanced Cash Up?

With regular Cash Up, your cash up begins and ends automatically with each new day.

With Advanced Cash Up, a session will remain open until it is manually stopped. It does not automatically close at the end of a day. Once you stop a session, a new one begins immediately. This gives you flexibility to choose when to cash up in a way that best suits your business operations, such as weekly, bi-weekly, or at the change of a staff shift.

While Advanced Cash Up may better suit your business operationally, it is also more susceptible to discrepancies, as it relies on staff to accurately stop and start sessions. If a session isn’t closed at the correct time, cash movements may span across multiple days or shifts, making reconciliation more difficult. For this reason, if you choose to use the Advanced Cash Up feature, it’s important to establish a consistent routine and ensure staff are trained on when and how to close each session.

Regular Cash Up remains the recommended option, and is also the most popular way to manage end-of-day balances.


Ending a Session and Cashing Up

To end the current cash up session, go to Manager > Cashup, then click Stop Session on the most recent session at the top of the screen. 

This action cannot be undone. Only proceed if you are sure there are no more transactions for the day.

Once you're happy to close the current session, click Yes, Stop.

If you have a cash drawer that opens automatically when putting through a sale, it will automatically open after you click Yes, Stop.

Next, a panel will show the Expected amounts for each payment type, based on sales processed through Phorest this session.

Count each payment type outside Phorest, then enter those amounts in the Actual field.

If everything is balanced, you will see the total displayed at the bottom in a green color.

If there are any discrepancies, you will see the amount you are under at the bottom in red.

Add a note to your cash up if you would like, enter the cash amount you are removing from the till to bring to the bank in Cash to bank (if any), then click Complete Cash-up to finish.

A new cash-up session will now automatically start, and the Cash Up Report will be generated.
