How can I add a new client lead form or call back option to my website? (Lead Management)

This guide will show you how you can generate new client leads by adding a callback option to your website and Online Booking page, using Lead Management.

What is Lead Management?

Lead Management is designed to help you capture new client interest and grow your business. It lets you share a lead form link directly on your website, social media, or newsletter, and automatically adds a Book a Call Back button to your online booking page.

When someone submits the lead form, their details go straight into your Phorest system, making it easy to follow up and convert leads into loyal clients.


Enabling Lead Management & Linking to Your Form

To enable Lead Management, go to MarketingLead ManagementSettings > enable the Show on online booking setting, and click Save changes.

Once enabled, a Book a call back button will instantly be added to your online booking homepage, directing clients to your lead form.

You can also copy your lead form link and place it wherever you prefer. Each type of link includes unique source tracking, so when a client completes the form, you’ll know exactly where the lead came from.

Embedding the Form on Your Website (iframe)

If you’d like to have your lead generation form displayed directly on your website, you can use an iframe to embed it. This makes the form appear directly on one of your web pages, allowing clients to fill it out without ever leaving your site.

To embed the form, you (or your web developer) can use the code snippet below.

When you add the code, make sure to replace the YOURFORMLINKGOESHERE text with your actual form link.

This code ensures the form is fully responsive, meaning it will look great on both desktop and mobile screens.

If you’re unsure how to add this to your website, we recommend contacting your website developer or the person responsible for managing your site. They’ll know exactly where and how to place this code.


How Does it Work?

Once enabled, prospective clients can complete your lead form.

Lead form submissions will then appear in your Phorest system under MarketingLead Management, as a New Lead for you to follow up on.

When following up on a lead, click on it to update it to the relevant status.

The Appointment Scheduled and Converted Client statuses are applied automatically - 'Appointment Scheduled' when a lead's appointment is booked, and 'Converted Client' when their appointment has been completed and paid for.

If the lead is ready to book an appointment, select them and click Create as New Client. Then choose Book an Appointment. You’ll be taken straight to the Appointments screen, where you can schedule their booking.

Converting a Lead

A lead is automatically considered 'converted' once the client's appointment is completed and paid for.

Enabling and Customizing Your Lead Management Messaging (Email & SMS)

You can automatically send an Auto Reply Message and/or a Follow Up Message to leads after they complete your lead form.

To enable the automatic messages, go to Marketing Lead ManagementSettings. Next, enable the messages you would like to send, select your sending preferences, and then press Save changes to finish.

If you choose to send the auto reply by lead preference, and a lead selects both email and SMS as their contact preference when completing the lead form, they will receive the Auto Reply Message as an email and a text message.

The Auto Reply Message is considered a transactional message and will be sent to all leads who complete the lead form.

The Follow Up Message is considered a marketing message and will only be sent to leads who opt into marketing when completing the lead form or who are manually opted in afterwards.

Customizing Your Messages

To customize the Auto Reply and Follow Up messages, go to MarketingLead ManagementLead Engagement, then select the message you'd like to customize.

Reporting on Leads and Conversions

You can view the number of new client leads generated along with the conversion rate at the top of the Leads screen under MarketingLead Management.

The Conversion Rate is based on leads generated and converted in the last 30 days.


Using Lead Management with Phorest Ads Manager

If you use Phorest Ads Manager, you can also link to your lead form in a Facebook and Instagram ad by choosing Leads as the target audience when creating your ad.

This targeting option works just like the New Clients targeting feature—it pairs your highest-spending clients in Phorest with Meta’s ad algorithm to help attract similar, high-value new clients. Existing clients will not see the ad.

The call to action button for your Leads ad will say Sign Up, and will direct users to your lead form.

 

 

Any leads generated through Ads Manager can be viewed on the Leads screen under MarketingLead Management, and their Lead Source will be listed as Ads Manager

Use the Lead Source filter to view a list of leads that came specifically from Ads Manager.
